The Seating Plan tool in the AirLST Suite is a powerful module that helps efficiently plan and manage guest seating. It is commonly used for conferences, galas, banquets, or other events with assigned seating.
In general, there are two sections for creating seating plans:
- Room Overview
- Seat Overview
ROOM OVERVIEW
CREATE AND CUSTOMIZE YOUR ROOMS AND SEATING PLANS
First, a room must be created in the Room Overview. To do this, click Add Room in the upper right corner of the screen.
The following window will appear:
Here, assign any number to the room and enter the room name in the Name field. In our example, we have created two rooms (Foyer & Rooftop Terrace).
To edit a room, click on the room’s name.
This will open the edit mode for the selected room. In the top right corner, you’ll see the editing toolbar, which we’ll take a closer look at below.

To add a table, click on the table icon. The following pop-up window will appear:
Here, you can define the shape of the table and specify how many people it should seat. Once you click Save, your table will be placed in the available space within the room.
To move a table, select it using the Move Tool and drag it to the desired position.
To assign guests to seats, open the Guest List from the menu bar in the top right corner.
The sidebar will open, displaying the guest list. You can then assign guests to their seats by dragging and dropping them onto the desired spot.
If changes occur after the initial placement, you can easily move participants to a different seat using the sidebar. The drag-and-drop function makes it simple to adjust the seating arrangement flexibly.
EXPORT
The completed seating plan can be displayed as a graphical overview, allowing you to see all tables and seats at a glance.
From the Seat Overview, you can also export the corresponding Excel file.

Here, you can also add fields and columns, and save a list view as a default setting.

GROUP VIEW FOR MAIN GUEST AND COMPANIONS
Once the “Allow Companions” feature is activated for your event, group views become available in both the Guest List(Load Preset) and the Seating Plan. This allows the main guest and their companion(s) to be displayed as grouped entries and sorted alphabetically by:
- First Name A–Z or Z–A
- Last Name A–Z or Z–A
