This article explains how to use presets to define which fields appear in the guest form, which are required, and which are automatically prefilled.
REQUIREMENTS
Before you start, you need:
- the Company Owner, Admin, or Manager role to manage presets
- access to the event to use presets
WHAT A PRESET DEFINES
A preset determines what the dialog for creating and editing a guest looks like:
- which fields are displayed, including the event's custom fields
- the order in which the fields appear
- which fields are required
- which fields are read-only
- which values are automatically prefilled when creating a guest
The input method for the prefilled value depends on the field type: selection fields have a dropdown, date fields have a date picker, and Boolean fields (=Yes/No) have a switch.
STEP-BY-STEP GUIDE
- Open the event and then the guest list.
- Open the dialog for creating or editing a guest.
- Use the preset dropdown at the top of the dialog to open preset management.
- Select the fields that should appear in the form and define their order.
- Mark fields as required or lock fields with fixed values (Optional).
- Save the preset.
The preset is then available to all users in the event.
USING PRESETS IN EVERYDAY WORK
When you select a preset from the preset dropdown, the form is rebuilt immediately. The “Default (complete form)” preset is always available as a fallback option.
Each user can pin a personal default preset.
Separately for creating and editing guests.

SAFEGUARDS
- Hidden fields retain their saved values. Hiding fields does not change any data.
- Prefilled values only apply when creating a guest. Existing guests retain their values.
- A field that is both locked and required but has no prefilled value cannot be saved.
| Note: Presets are created for each event. For a recurring format, create the presets again in the new event. |
