This article explains how to create and properly configure custom fields and use them in the registration form.
Custom fields allow you to collect information beyond the standard fields—for example, travel options, hotel preferences, group categories, or meal preferences.
CREATING A CUSTOM FIELD
1. Open the guest list for your event.
2. In the Options dropdown, click Fields & Columns.
3. Select Add custom field.
4. Define the field property (see below).
5. Select the field type.
6. Enter the field label, that is, the title of the field in your event's default language. The field key is generated automatically.
7. For selection fields: Create the selection options and arrange them in the desired order.
8. Save the field.
FIELD PROPERTY: GUEST OR BOOKING
The field property determines whether the primary guest and accompanying persons receive individual or shared values.
| Field property | Meaning | Example |
|---|---|---|
| Individual value for primary guest and accompanying person (guest) | Each person has their own value. | Meal preference (vegetarian, vegan) |
| Shared value for primary guest and accompanying person (booking) | All people in a booking receive the same value. | Hotel where the primary guest and accompanying person stay together |
| Important: The field property cannot be changed after the field has been created. If you need to change it, create the field again. |
FIELD TYPES
| Field type | Suitable for |
|---|---|
| Text | Short free-text entries, e.g. department |
| Text (multiline) | Longer entries, e.g. notes |
| Integer | Whole numbers, e.g. number of nights |
| Decimal number | Numbers with decimal places |
| Boolean (Yes/No) | Yes/No questions, e.g. parking required |
| Selection field (dropdown) | One option from a fixed list |
| Multiple selection | Several options from a fixed list |
| Date | Dates, e.g. arrival date |
| Email addresses, e.g. assistant | |
| File upload | Documents or images of guests |
| Tip: For selection and multiple-selection fields, you can assign quotas and display the remaining availability in the form (e.g. “12 spaces still available”). For details, see the article “Limits for custom fields”. |
MANAGING SELECTION OPTIONS
• The order of the options determines how they are displayed in the registration form. Arrange them so that guests can quickly find the appropriate option.
• You can add and remove options in a single step.
• When you add another language to your event, the translations of the options are carried over. Then check them in the new language.
| Note: Do not remove an option until you have checked whether guests have already selected it. |
FIELDS IN THE REGISTRATION FORM
After creating the field, add it to the registration form—for primary guests and, if enabled, for accompanying persons.
• Read-only: The field is displayed but cannot be edited. This allows you to show guests, for example, data that has already been entered.
• Multi-step form: You can divide the registration into several steps with custom headings and place the query for accompanying persons in any step.
| Important: If a read-only field does not yet have a value, the guest can complete it once. The field is locked only after submission. |
| Note: Custom fields are also available as conditions in visibility groups in the Event App, for example, to display content only to guests with a specific selection. |
