In this article, you will learn how to use access control to specify which users in your account can view and edit an event—for individual events or multiple events at the same time.
| Note: The Access control button in the action bar is only visible to Company Owner. |
WHAT IS ACCESS CONTROL?
Access control restricts access to an event to selected users and teams. You can also assign a role to each user, such as Admin, Manager, Read-Only, or Check-in.
| Setting | Who has access to the event? |
|---|---|
| Access control: Yes | Only the assigned users and teams, the event creator, and the Company Owners |
| Access control: No | All users in the account |
| Note: Access for Company Owners and the creator of an event cannot be restricted. |
ACCESS CONTROL WHEN CREATING AN EVENT
New events have access control enabled by default. In the Create new event form, the Access control option is already set to Yes. Directly below, you can select the users who should have access and assign each of them a role.
If you do not select any users, initially only you and the Company Owners can see the event.
CHANGE ACCESS CONTROL FOR A SINGLE EVENT
- Open the desired event.
- Go to Settings > Event settings.
- In the Access control section, select Yes or No.
- For Yes: Select the users who should have access and choose the appropriate role in the Role column.
- Click Save.
MANAGE ACCESS CONTROL FOR MULTIPLE EVENTS AT THE SAME TIME
As a Company Owner, you can set access control for multiple events in one step directly in the event list.
- Open the event overview under My events.
- Select all events that you want to edit. An action bar appears at the bottom of the screen.
- In the action bar, click Access control.
- Select On to restrict access, or Off to make the events available to all users in the account.
- For On: Select the desired users and choose a role for each one.
- Confirm with Replace access or Turn off access control.
| Important: The users and teams selected in the dialog replace the existing assignments for all selected events—even for events where access control is already active. The dialog does not display the existing assignments. Therefore, always select all users who should have access after saving. |
| Note: If you turn off access control, the existing assignments remain saved. As soon as you turn access control back on for the event, they apply again. |
DISPLAY ACCESS CONTROL IN THE EVENT LIST
You can display which events have access control enabled in the event list:
- In the event overview, click Options > Fields & columns.
- Find the Access control field and select it.
- Click Apply.
The column displays a check mark (active) or a cross (not active) for each event. You can use the filter row to filter the list by Yes or No and sort it by clicking the column header.
COPY EVENTS
A copy always starts with access control enabled—even if the original event was available to the entire account. After copying, initially only you and the Company Owners can see the new event.
| Tip: To make the copy available to the entire account, open the event and set access control to No under Settings > Event settings. |
