This article explains how to define the basic settings under Planning › Settings that all events in your organisation use.
REQUIREMENTS
- A role with permission to configure planning (Company Owner and Admin)
SETTINGS AT A GLANCE
In the main navigation, open Planning › Settings.
| Area | Content |
|---|---|
| Cost categories | Cost areas such as catering, technology or venue, which you use to organise your budget, quotes and costs |
| Task statuses | The columns on your task board, e.g. Open, In progress, Completed |
| Task lists | Reusable templates for tasks, e.g. a checklist for every event |
| Finances | VAT rates and a default reserve for new event budgets |
| Sponsorship packages | Templates for sponsorship packages |
CREATE COST CATEGORIES
- Open Planning › Settings › Cost categories.
- Create a new cost category and assign it a name.
- Click Save.
Clicking a cost category opens a flyout.
There, you can see where the cost category is used and rename, archive or delete it.
DEFINE TASK STATUSES
Each status represents a column on the board. Use the counts as completed option to specify which statuses are considered complete, e.g. for overdue tasks.
| Important: There must always be at least two statuses. |
CREATE TASK LISTS
- Open Planning › Settings › Task lists.
- Create a new list and assign it a name.
- Add entries with a title, cost category and timing, e.g. “30 days before the event starts”.
- Click Save.
You can then apply this list to any event.
The Planner calculates the due dates based on the event start.
| Note: Cost categories and statuses that are already in use cannot be deleted. Archive them instead. The dialogue explains the reason. |
