This article provides answers to frequently asked questions about the Event Planner.
LICENSE AND TRIAL PERIOD
Can I test the Event Planner for free?
Yes. Each organization can start a 28-day trial period once. It applies to all events.
Can I combine event licenses and an annual license?
No. An organization uses either event licenses or an annual license.
Who can request a quote?
Anyone who is allowed to view the planning, including users with the Read-Only role.
OPERATION
Why can't I see the “Planning” section?
Your role does not have access to planning, such as the Check-in and Guest Manager roles. Contact an admin in your organization.
Why can't I delete a service category?
The service category is already being used, for example in a budget, a task, or a sponsorship package. Archive it instead.
Are duplicate tasks created if I take over a task list twice?
No. Tasks with a title that already exists are skipped.
Is the onboarding checklist in the event header connected to the tasks?
No. The onboarding checklist is independent of the tasks in the Event Planner.
BUDGET AND COSTS
Are the amounts net or gross?
The budget and forecast are net amounts in euros. For quotes and receipts, you enter the VAT rate, and the gross amount is also displayed.
Why doesn't the forecast decrease even though an invoice is lower than the quote?
A commissioned quote counts in full until you mark an invoice as the final invoice.
Can I use other currencies?
No. The Event Planner calculates exclusively in euros.
Can I pay invoices through the Event Planner?
No. The Event Planner is used for planning and monitoring. Payments and approvals are handled by your accounting department.
Do I receive emails when the budget is exceeded?
No. Overruns and due payments appear as notifications in the AirLST Suite and in the Event Cockpit.
