In this article, you will get to know the Standard Checkout.
It covers the entire process from ticket selection through add-ons and accompanying persons to payment and confirmation.
All data flows directly into your guest list, your emails, your tickets, and the check-in.
To set up your checkout process, please refer to the following article:
Setting Up Checkout - Step-by-Step Guide
| TIP | For simple events without accompanying persons and add-ons, AirLST offers a more streamlined checkout version. Learn more here. |
PREREQUISITES
- The registration form for bookings must be activated on your landing page so that paid tickets and add-ons are displayed in the checkout.
- At least one payment provider (Stripe, Mollie, or PayPal) must be connected if you want to offer paid tickets.
- The Standard Checkout works with both open and closed registration.
| TIP |
You can process free tickets and add-ons at any time through the checkout – even without a connected payment provider. The booking will then proceed as a simple registration without payment. |
THE 8-STEP CHECKOUT PROCESS FOR YOUR GUESTS
Your guests go through the following steps when booking:
- Select tickets – choose ticket type and quantity.
- Select add-ons – add additional products such as workshops, hotel, or transport.
- Enter guest data – input the main guest's personal information.
- Add accompanying person(s) – add accompanying persons including their own tickets, add-ons, and personal data.
- Provide billing address – enter billing information.
- Initiate payment – trigger payment via the chosen payment provider.
- Payment confirmation – confirmation of payment by the provider.
- Confirmation – order overview and confirmation email are sent to the guest.
| NOTE |
A started order (= shopping cart) expires after 15 minutes. If your guest does not complete the checkout within this time, the order is automatically canceled and the reserved quotas are released again. |
TICKETS
- Multiple ticket types possible per event (e.g., Early Bird, VIP, Standard).
- Individual pricing per ticket, including currency and VAT rate.
- Overall limit per ticket (capacity) can be set.
- Time-controlled availability (sales start and end) adjustable.
- Automatic assignment to a guest group is possible when purchasing a ticket.
ADD-ONS
In addition to tickets, you can offer additional products (add-ons). Each add-on belongs to a product category and supports three availability types: quantity-based, slot-based, and night-based.
ASSIGNING ADD-ONS ADMINISTRATIVELY
Besides booking by the guest in the checkout, you can also assign add-ons directly via the guest list:
- Open the guest list and select the desired guests.
- Click on "Assign add-on" in the "Action for selection" menu.
- Choose the period and then select the desired add-on from the available options (quantity-based, slot-based, or night-based).
⚠️ |
Please note: Capacity limits are currently not checked during administrative assignment. Guest group restrictions also do not apply here – please filter your guest list accordingly beforehand if you only want to assign add-ons to a specific guest group. |
ACCOMPANYING PERSONS
- The main guest can add accompanying persons during checkout.
- Each accompanying person receives their own tickets and add-ons.
DIGITAL TICKETS
- Automatic sending of registration and order confirmation after successful payment.
- QR code-based digital ticket.
- Apple Wallet ticket.
- PDF ticket as email attachment (if included in the email template).
- Fully customizable in your event’s corporate design.
ORDER STATUS
Each order goes through fixed statuses:
| Status | Meaning |
| Payment pending | Payment has been initiated; confirmation from the provider is still pending. |
| Completed | Payment successfully confirmed; order is final. |
| Payment failed | The payment could not be completed. |
PRICING
AirLST supports two different pricing models depending on the type of your event.
CLOSED EVENTS:
PRICE CONTROL VIA GUEST GROUPS
In closed events, your guests already exist before registration (imported or invited). The guest group controls which tickets and prices a guest sees.
- Each guest group sees only the tickets and prices relevant to them.
- No manual discount codes needed.
- Automatic assignment via personalized invitation links.
- Reporting by guest groups for clear revenue analysis.
Ideal for: customer events, incentives, conferences with invitation lists, employee events.
PUBLIC EVENTS:
PRICE CONTROL VIA TICKET TYPES
In public events, the guest is created only through ticket purchase. Here, the ticket types themselves define the price levels.
Ideal for: concerts, trade fairs, public events, product launches.
COMBINATION:
TICKET PURCHASE WITH GUEST GROUP ASSIGNMENT
Even in public events, you can link ticket types with guest groups. For example, if a guest buys a "VIP ticket," they are automatically assigned to the "VIP" guest group. From that point on, all benefits of the guest group logic apply:
- Differentiated communication – VIP guests receive different emails than regular guests (currently implementable via Twig).
- Add-on control – certain add-ons are visible or bookable only for certain guest groups.
- Check-in filtering – separate entrance lanes per guest group.
- Segmented reporting – evaluation by ticket type and guest group.
CANCELLATION & REFUND
Cancellations and refunds are currently handled via the admin interface of your payment provider.
Here is how to proceed:
- Initiate the refund in the PSP dashboard (Mollie, Stripe, or PayPal).
- Remove the booked ticket and add-ons in the guest profile under Tickets & Add-ons to release the capacity again.
- Manually set the guest status to Cancelled in AirLST.
- The ticket quota will then be automatically released again.
- Optional: Send a cancellation confirmation email to the guest.
| NOTE | A refund function directly from the AirLST guest profile is planned for the 2027 roadmap. |
FREQUENTLY ASKED QUESTIONS
Does AirLST hold my money from ticket sales?
No. The payout is made directly from the payment provider to you as the organizer (Merchant of Record). AirLST never has access to your customer funds.
Can I offer purchase on account or installment payments?
Currently not – only synchronous instant payments are supported. "Purchase on account" via Stripe is planned; Mollie will follow later.
How do I decide whether to work with guest groups or ticket types?
Use guest group control for closed registration with a known guest list. For open, public registration, control prices via ticket types instead – a combination of both models is possible.
