This article explains how to define precisely which guests are eligible for check-in when scanned in the AirLST Check-in App – including AND/OR logic, time windows, and multiple filter groups.
PREREQUISITES
- Latest version of the AirLST Check-in App (Release 04/26 or later).
- A valid AirLST account with access to the desired event and its contact, booking, and guest fields.
OVERVIEW
Check-in Filters let you define which guests are eligible for check-in in a given scan scenario. A scan is only booked as a successful check-in if the guest meets the defined conditions.
Otherwise the app provides an appropriate feedback message.
Filters can be defined at multiple levels and combined freely.
Within a filter group, all conditions are linked with AND.
Multiple groups are linked with OR.
This lets you model even complex admission rules cleanly.
|
NOTE Check-in Filters complement but do not replace the basic authorization via guest groups and tickets. For permanent assignments (e.g. ticket types), the existing event configuration remains the recommended approach. |
FILTER FIELDS
| Field Type | Examples |
|---|---|
| Contact fields | First name, last name, email, company. |
| Extended contact fields | Custom fields configurable per account on the contact. |
| Booking fields | Ticket type, add-ons, order status. |
| Guest fields | Event-specific fields on the guest, e.g. session assignment or group. |
| Time (new) | Restrict check-in to a defined time window (e.g. 6:00 PM – 8:00 PM). |
AND / OR LOGIC
The filter logic follows a simple principle:
- Within a filter group, all conditions are linked with AND – all must be met.
- Between filter groups, OR applies – at least one group must be fully satisfied.
- You can create as many filter groups as needed.
- Filters can be configured separately for different check-in scenarios (e.g. Main Entry, VIP, Workshop).
EXAMPLE
You want to admit only guests with a VIP ticket OR guests from the partner group at the main entrance – in both cases only between 6:00 PM and 8:00 PM.
| Group | Conditions (AND) |
|---|---|
| Group A – VIP | Ticket type = "VIP" AND check-in time between 6:00 PM and 8:00 PM. |
| Group B – Partner | Guest group = "Partner" AND check-in time between 6:00 PM and 8:00 PM. |
A guest is admitted if Group A OR Group B is satisfied.
HOW TO CREATE A CHECK-IN FILTER
- Open the settings of the desired event in the AirLST Check-in App.
- Navigate to the "Check-in Filters" section.
- Create a new filter group and add the desired conditions (field, operator, value).
- Optional: add time-based filters to restrict check-in to a specific time window.
- If needed, add additional filter groups. These are linked with OR.
- Save the configuration. The rules will be applied starting with the next scan.
|
PLEASE NOTE: Check-in Filters can be saved as part of a Check-in Profile and synchronized across devices. Ideal for recurring setups or multiple entry stations with different logic. |
USE CASES
| Scenario | Benefit of Check-in Filters |
|---|---|
| Multiple entrances with different eligibility | One filter per entrance (e.g. VIP entry vs. main entry). |
| Staggered admissions | Check-in only within defined time windows. |
| Workshops & side sessions | Only guests with the matching session booking are checked in. |
| Mixed audiences (VIP / Partner / Standard) | Combination of AND/OR groups for complex eligibility rules. |
LIMITATIONS AND NOTES
- Check-in Filters affect only the check-in via the app. Other reports and guest lists remain unaffected.
- A scan that does not meet any filter group is rejected with a clear feedback message.
- The filter configuration can be adjusted at any time; changes take effect with the next scan.
API CHECK BEFORE CHECKIN
If the switch is turned on, the check-in app will continuously synchronise with the guest list in the suite. If your internet connection is weak, you can turn it off to noticeably speed up the app.
